Bookkeeping Built for Carriers

Trucking Accounting Software That Lives Inside Your TMS

Tacit OS keeps a carrier's books where the loads already are. Invoices build themselves from delivered loads, fuel and expenses land against the right truck, factoring is tracked to the funded dollar, and driver settlements export payroll-ready. Real double-entry books, tax-ready statements, no second system.

The Problem

What trucking companies struggle with — and how Tacit OS fixes it

Most carriers run 5–6 disconnected tools. Tacit OS replaces that stack with one platform built for trucking.

Without Tacit OS
With Tacit OS
Rate cons live in the TMS, invoices in QuickBooks, and someone retypes every load between them.
Delivered loads wait under Unbilled Loads. One click builds the invoice from the load's rate, accessorials and documents.
You cannot tell which truck or lane actually makes money because fuel and repairs are not tied to the load.
Bills, expenses and fuel are recorded by category and by truck, so cost per mile and Truck P&L are real numbers.
Factoring fees and reserves are a mystery until the statement arrives.
Choose direct billing, quick pay or factoring per invoice and see what each nets you before you decide.
Driver pay is a Friday spreadsheet, and every deduction and advance is a dispute waiting to happen.
Settlements compute each driver's pay from delivered loads and pay type, with deductions, advances and reimbursements itemized on the stub.
IFTA quarter-end means digging state miles out of the ELD and fuel receipts out of a shoebox.
Jurisdiction miles come from telematics, fuel from your card import, and the quarterly figures are ready when the quarter closes.

The Tacit OS Platform

Everything your operation needs — in one place

Dispatch, compliance, accounting, fleet, and driver management — all connected, all in Tacit OS.

One-Click Freight Invoicing

Build the invoice from the delivered load, attach the rate confirmation, BOL and POD, send it, and track payment through Net 30 and beyond with receivables aging and a collections log.

Bills, Expenses and Fuel by Truck

Record what you owe and what you spent, by category and by truck. Fuel enters by hand or by fuel-card CSV import and feeds cost per mile, fill-to-fill MPG and the IFTA return.

Factoring, Quick Pay or Direct

Decide per invoice. Tacit OS shows the net of each option, records funded amounts and reserves, and keeps the books on a cash basis so revenue lands when the money does.

Driver Settlements and Payroll Export

Per mile, percentage, per leg or hourly pay types on one fleet pay calendar. Settlement statements and pay stubs you design, then a payroll-ready export for your payroll provider. Carrier Suite.

IFTA Fuel Tax Reporting

Jurisdiction miles from your connected ELD or telematics plus fuel purchases by state produce the quarterly figures. File it yourself or have the Tacit team prepare and file it.

Tax-Ready Financial Statements

Profit and loss, balance sheet and cash flow from the double-entry books for any period, plus Truck P&L, driver earnings and revenue by customer and lane. Export everything for your accountant.

Who It's For

Purpose-built for every role in your fleet

Owner-Operators

One truck, one set of books. Invoice the load the day it delivers, see your real cost per mile, and hand your tax preparer clean statements.

Small Fleets

Profit by truck and earnings by driver on a delivery-date basis, with settlements that reconcile to the invoices they came from.

Dispatchers and Accountants

Independent dispatchers get bookkeeping with commission tracking on Dispatch Pro. Accountants work inside a client's books with scoped, revocable access.

FAQ

Common questions

Is Tacit OS trucking accounting software or a bookkeeping service?

Both, and you choose. Carrier Pro includes the bookkeeping software: invoicing, bills and expenses, payments, factoring, receivables and financial statements, all inside the same platform as your dispatch. If you would rather hand the books to someone, the Hire an Accountant option brings a vetted trucking accountant into your Tacit OS books with scoped, transaction-only access that you can revoke at any time.

Does Tacit OS replace QuickBooks for a trucking company?

For most carriers with 1 to 20 trucks, yes. Tacit OS keeps real double-entry books with a chart of accounts, and produces a profit and loss statement, balance sheet and cash flow statement for any period. The difference from a generic accounting tool is that loads, fuel, drivers and trucks are already in the system, so invoices build themselves from delivered loads and cost per mile is real. Statements export for your accountant or tax preparer.

How does invoicing work?

Delivered loads wait under Unbilled Loads. One click builds the invoice from the load's rate, accessorials and attached documents (rate confirmation, BOL, proof of delivery). Send it to the broker or shipper, track payment status and aging, and log collection follow-ups on anything past due.

Does Tacit OS handle factoring?

Yes. For each invoice you choose between billing the customer directly, taking the broker's quick pay, or factoring, and Tacit OS shows what each option nets you after fees and reserves. Factored invoices are recorded on their funded date so the books match the cash.

Does Tacit OS do driver settlements and payroll?

Carrier Suite prepares driver settlements from each driver's delivered loads and pay type (per mile, percentage of linehaul, per leg or hourly), applies deductions, advances and reimbursements, and produces a settlement statement and pay stub. It then exports a payroll-ready file for your payroll provider. Tacit OS does not run payroll or move the money itself.

Does it do IFTA fuel tax reporting?

Yes. Jurisdiction miles come from your connected ELD or telematics, fuel purchases come from manual entry or a fuel-card CSV import (WEX, EFS, Comdata, Pilot and others), and the quarterly IFTA figures are produced from both. File it yourself or have the Tacit team prepare and file it as a service.

What does trucking accounting software cost in Tacit OS?

Bookkeeping is included in Carrier Pro at $149.99 per month flat, not per truck, with unlimited trucks and drivers. Driver settlements and payroll exports are in Carrier Suite at $399.99 per month. The free owner-operator plan covers dispatch, tracking and compliance but does not include bookkeeping.
